I do all my orders on computer - do not have order books. The auditor
quite liked that and did not require an accountable documents register.

With my order books I have always put in the date the books were
received then the date each book is put in use and date completed.

We had the same problem with Stannards not being happy with how our
Accountable Document Register was run, even though they could see it has
been the same format for some years. It was brought up in our letter to.
Accounting for the usage of the order books was not enough, I was told
that when the order books are purchased the purchase date needs to be
entered along with the total range of books received. Nothing was said
about listing down cancelled purchase orders.

Hi Brigid

Our Stannards man wasn't happy with my accountable docs register - I
only listed cheques and order books used on a monthly basis.  He said we
had to list the bulk deliveries, then monthly usage including noting any
cancelled ones.  Previous auditors have been happy with this and have
not mentioned anything about deliveries.  On the audit letter they also
mentioned invoices in the same sentence.  I presume they meant invoices
we issued.  Seems to be Stannards - did any of the other companies
mention it?

When I receive the new cheques I write down the date and number range
received however I don't go as far as splitting this in to which box
they are in? Our audit is next week so will see whether it gets brought
up?

They told us the same but didn't include it on our letter of response.
I thought I would just write down the numbers in the box and then do the
normal writing down of chqs I take out of the box.  That way we are
covering ourselves both ways.

We had our audit today by Standard's; has anyone ever been requested
previously to supply an Accountable Document of unused cheques?  ie
stating box one has cheque xxxxxxx to xxxxxx and box two has cheque
xxxxxx to xxxxxx rather than each bundle of cheques you take out of the
box which is what I do, that is I take a hundred cheques out of the box
and write this into my accountable documents register, she told me this
is wrong because CASES21 records the numbers anyways!
