In fact it not just department policy that sets working hours, but also the Certified Agreement and Award, both of which state that the “ordinary hours of duty for full time employees are 76 hours per fortnight, which equals 7.6 hours per fortnight”. As far as the payroll is concerned, all full time employees are paid for a 76 hour fortnight. One of the complications in the case of teachers is that there are separate provisions covering face-to-face or contact hours. (Perhaps we [i.e. those with specific hours such as SSOs and public servants] should be saying the teachers are being overpaid, though of course many teachers work beyond both their scheduled hours and the number of hours they are paid for).
In the case pf part-day absences, determining the actual/accurate absence hours to be entered on HRMS is potentially rather complex, as you are pointing out. There are several ways that you could do this, including the following:
1. Only enter half day (i.e. AM or PM) absences. A ‘complication’ here is that in many schools there are more work/contact hours in the morning than there are in the afternoon.
2. Calculate and enter the actual hours absent based on the attendance hours.
3. Calculate and enter the actual hours absent based on the ordinary hours.
4. Calculate the number of hours to be entered based on a percentage of the attendance hours compared to the ordinary time hours. This would work something like this in your example. The attendance hours for your school are 5.9 hours per day (I have assumed a 30 min lunch break). 2hrs divided by 5.9 times gives a percentage of 33.9% i.e. 2 hours is 33.9% of the ‘day’. 7.6 hours times 33.9% gives an absence of 2.576 hours.
I am not advocating or recommending any particular approach, however for most employees these details are pretty academic because very, very few employees actually exhaust their sick leave entitlement, though it could possibly impact more in the case of sick leave without a certificate.

Good morning all
I have asked this question many times of others but am interested in what the Business Managers list has to say –
Department Policy is that a full day for entering an absence is 7.6 hrs for a full day and half a day 3.8. Therefore for ‘recording’ purpose our day is 8.30 – 4.30 with half an hour for lunch (give and take 10 minutes or so).
Our ‘local’ policy is that staff don’t have to start until 8.50 and can leave after last period at 3.15. I often get staff that query the 8.30 – 4.30 and are generally happy when I explain for ‘recording’ purposes the hours are 8.30 – 4.30 no matter what time you leave after 3.15.
Unfortunately I have one staff member that is going to look into this further. What do other schools do when faced with half day absence? Eg. If someone was absent until 11.00 am I would enter 2½ hours and for half a days absence in the afternoon that would start from 1.00pm.
How do you all handle this?
